Purchase order template vs a generator
A purchase order template in Word or Excel leaves the maths and the layout to you, and old values are easy to forget when you copy last month’s PO. This generator starts clean every time, calculates the totals for you and always prints in the same professional format.
Frequently asked questions
What must a purchase order include?
A unique PO number, buyer and supplier details, a clear description of each item with quantity and unit price, the delivery address and required date, delivery terms (Incoterm), payment terms and the total amount.
How should purchase orders be numbered?
Use a format that is unique and sortable, such as PO-YYYYMMDD-001. If your company already has a numbering sequence, type your own number into the PO number field.
Is a purchase order legally binding?
In most countries a purchase order becomes a binding contract once the supplier accepts it, in writing or by delivering the goods. Ask the supplier to confirm acceptance, and check your company’s standard terms with your legal team.
What happens after the PO is issued?
Most late deliveries show warning signs weeks before the due date. The PO Delivery Tracker logs every open purchase order, flags overdue and at-risk lines automatically, and builds your weekly expediting report.
